Introduction & Getting Started

1.1 What is RoadScope?

RoadScope (roadscope.app) is the leading Route Intelligence platform built specifically for the Oversize/Overweight (OS/OW) heavy haul transportation industry. It is a professional-grade web application that transforms how route surveyors, permit agents, and transport operators plan and document the movement of oversized loads.

Before RoadScope, surveyors relied on paper notes, disconnected spreadsheets, and generic mapping tools that were never designed for the unique demands of heavy haul logistics. RoadScope replaces all of that with a single, unified platform where you can:

  • Record detailed route surveys with GPS-tracked points of interest (POIs)
  • Measure and document clearances, bridge heights, overhead wires, and road conditions
  • Collaborate in real time with your entire team — dispatchers, drivers, and engineers
  • Generate professional reports and permit applications
  • Navigate routes turn-by-turn on your mobile device, even offline
  • Understand permit requirements across 60+ jurisdictions instantly with AI

RoadScope is a web-based Progressive Web App (PWA), meaning it runs in your browser on any device — desktop, tablet, or smartphone. It also installs like a native app and works offline once you have a connection to sync your data.

Firefox Limitations Some advanced features — including Web Serial (hardware device connection), Web Bluetooth, and certain offline PWA capabilities — require Chrome or Edge. Firefox is supported for basic map viewing but is not recommended for field survey work.

1.3 Creating an Account

RoadScope accounts are managed by SolTec Innovation Inc. To get access to the platform, you have several options:

Option A — Self-Registration (Starter, Operator, Enterprise, or Free Viewer)

  1. Navigate to roadscope.app in your browser.
  2. Click Get Started or Sign Up on the landing page.
  3. Fill in your name, email address, company name, and phone number. RoadScope verifies that your email is unique and not already registered.
  4. Choose your subscription plan (see Part 12 for a full plan comparison).
  5. Accept the Terms of Service, Privacy Policy, and Acceptable Use Policy.
  6. For paid plans, you will be redirected to a secure Stripe payment page to enter your credit card details.
  7. After payment, verify your email address by clicking the link sent to your inbox. A 6-digit SMS code is also sent to your phone for additional verification.
  8. Once verified, your account is reviewed by the RoadScope team. Most accounts are approved within a few minutes during business hours.

14-Day Beta Trial New users can select the Beta Tester plan during signup to get 14 days of full platform access at no charge. This gives you full Enterprise-level access to evaluate every feature before committing.

Option B — Admin-Provisioned Account (Hardware Bundle Users)

If you purchased a MeasurePRO hardware device from SolTec Innovation's online store (soltecInnovation.com), your RoadScope account is provisioned for you by a SolTec administrator. You will receive a welcome email containing:

  • Your login email address
  • A temporary password (beginning with RS-)
  • Your access type (6-month or 12-month Hardware Bundle)
  • Your access expiry date

Log in immediately and change your password from the Profile Settings section.

Option C — Invitation (Collaborator Access)

If a map owner has invited you to collaborate on their project, you will receive an invitation email. Click Accept Invitation in the email, then follow the prompts to create a free Collaborator account. You do not need a paid subscription to collaborate on maps you are invited to.

  1. Go to roadscope.app in your browser.
  2. Enter your registered email address and password.
  3. Click Sign In. If your credentials are correct, you are taken directly to your map workspace.
  4. If you have forgotten your password, click Forgot Password, enter your email, and follow the reset link that arrives in your inbox.

Account Approval Required New self-registered accounts require approval by the RoadScope team before you can access the full platform. If you see a "Pending Approval" screen after signing in, your account is still being reviewed. This typically takes under 15 minutes during business hours. Contact support at support@soltec.ca if you have waited more than 2 hours.

Password Reset

If you cannot remember your password:

  1. Click Forgot Password on the sign-in screen.
  2. Enter your registered email address and click Send Reset Link.
  3. Check your inbox for a password reset email from RoadScope.
  4. Click the link in the email — it opens a page where you can set a new password.
  5. Your new password must be at least 8 characters and include a mix of letters and numbers.

1.5 Interface Overview

When you first sign in to RoadScope, you land on your Map Workspace — the central hub where all your route surveys live. Here is a quick overview of every area of the screen:

1.6 Navigation & Layout

RoadScope's navigation is organized around two main areas: the Map Workspace (where you do your survey work) and the Platform (account, admin, and settings). You switch between these by clicking the icons or menu items in the top navigation bar.

Map Workspace

2.1 Creating a New Map

In RoadScope, every survey project is called a Map. A map contains all the data for a specific route survey: the GPS track, all Points of Interest, attached photos and documents, collaborator access, and generated reports.

  1. From your home screen, click the "+ New Map" button in the top-right corner of the My Maps panel.
  2. Enter a descriptive Map Name. For example: "Highway 17 East — Blind River to Sudbury."
  3. (Optional) Add a description, client name, vehicle configuration, and project number for your records.
  4. Click Create Map. The map opens immediately in the editor.

Naming Convention Use a consistent naming convention like "Route — Start to End" so maps are easy to find later. RoadScope supports searching and filtering maps by name, date, and collaborator.

2.2 Map Controls

The map canvas uses Google Maps as its primary engine, with support for OpenStreetMap and Esri ArcGIS layers. All standard map interactions work as you would expect:

  • Pan: Click and drag on the map to move around.
  • Zoom: Scroll your mouse wheel, pinch on a touchscreen, or use the +/- buttons.
  • Click to Add POI: Single-click anywhere on the map to open the Add POI dialog at that location.
  • Right-click: Opens a context menu with options to add a POI, set as origin, or set as destination.
  • Double-click: Zooms in to that point.

Map Type Switcher

Use the layer toggle in the top-right of the map to switch between:

  • Road Map — Standard road map (default)
  • Satellite — Aerial imagery
  • Hybrid — Satellite with road labels overlaid
  • Terrain — Topographic map with elevation shading

2.3 Map Sidebar & Tabs

POIs Tab

The POIs tab shows a scrollable list of all Points of Interest recorded in the current survey. Each POI appears as a card showing its type icon, name, and any measurement badges. Click a POI card to:

  • Zoom the map to that POI's location
  • Open the POI detail panel on the right
  • Start editing the POI

Use the search bar at the top to find POIs by name or notes. Use the filter dropdown to show only specific POI types or badge categories.

Routes Tab

The Routes tab manages GPS-tracked route segments. From here you can:

  • Start a new GPS tracking session (records your vehicle's path)
  • View all recorded segments with distance and duration
  • Toggle route visibility on the map
  • Create "Floating Routes" (manually drawn paths)
  • View the elevation profile for any segment

Layers Tab

Toggle optional data overlays on the map:

  • Traffic Layer — Real-time traffic conditions
  • Satellite Imagery — High-resolution aerial photos
  • OS/OW Overlay — Custom RoadScope route data
  • Weather Layer — Current weather conditions (Operator+)
  • Custom Layers — Import and display GeoJSON or KML files as overlays

Files Tab

Attach any file to your map project:

  • Permit documents (PDF)
  • Engineering drawings
  • Client correspondence
  • Video files
  • Import files (CSV, GeoJSON, ZIP)

Files are stored in Firebase Cloud Storage and available to all collaborators with Edit or Admin access.

OS/OW Regulations Tab

The Regulations tab provides instant access to oversize/overweight permit rules for any US state or Canadian province. See Part 8 for full details.

2.4 My Maps Workspace

When you first open RoadScope, you see the My Maps workspace — an organized view of all your survey projects. The workspace has four tabs:

Bulk Actions

In the My Maps tab, you can select multiple maps using the checkboxes on each map card. Once selected, a bulk action toolbar appears at the bottom with options to:

  • Archive — Move selected maps to Archives
  • Export — Download all selected maps as a ZIP bundle
  • Delete — Permanently delete selected maps (requires confirmation)

Deletion is Permanent Deleting a map removes all associated POIs, photos, routes, and reports permanently. There is no recycle bin. If you are unsure, use Archive instead — it is fully reversible.

2.5 Archiving Maps

Archiving is RoadScope's recommended way to manage completed or inactive surveys. Unlike deletion, archiving:

  • Preserves all data (POIs, routes, photos, reports)
  • Removes the map from your active My Maps list (reduces clutter)
  • Keeps the map accessible via the Archives tab
  • Retains all collaborator access for viewing

To archive a map, hover over it in My Maps, click the ⋮ menu, and select Archive. To restore it, go to the Archives tab, click the map, and select Unarchive.

Part 3

Points of Interest (POIs)

Points of Interest (POIs) are the heart of every RoadScope survey. A POI is any location along your route that is important to document — a bridge, a low wire, a tricky intersection, a tight turn, or any other feature that affects the safe movement of an oversized load. Every POI you create is automatically saved to the cloud, synced with your collaborators in real time, and included in your exported reports.

3.1 POI Types — Complete Reference

RoadScope includes 35 preset POI types, each with its own color, icon, and map marker. The types are organized into logical categories to make finding the right one fast and intuitive.

3.2 Creating a POI

There are three ways to add a POI to your survey:

Method 1 — Click on the Map (Most Common)

  1. Make sure the correct map is active and open in the editor.
  2. Click the location on the map where the POI should be placed. A crosshair cursor appears when you hover over the map.
  3. The Add POI dialog opens, pre-filled with the GPS coordinates of the location you clicked.
  4. Select a POI Type from the dropdown. The map marker color updates live to match the type.
  5. Enter a Name (or use the auto-generated name like "Bridge-001").
  6. Add Notes if needed — any observations, dimensions, or concerns.
  7. Click Save POI. The marker appears on the map immediately.

Method 2 — Current GPS Location

Press the N key on your keyboard, or click the Add POI at GPS Location button in the map toolbar. This places a POI exactly at your current GPS position — ideal for field surveyors marking hazards as they drive or walk the route.

Method 3 — Address Search

In the Add POI dialog, click the Search Address tab. Type a street address, intersection, or landmark. RoadScope uses Google Places (with OpenStreetMap as a fallback) to resolve the address to precise coordinates and places the POI there.

Auto-Name System RoadScope automatically assigns sequential names to POIs (Bridge-001, Bridge-002, Wire-001, etc.) based on type. You can rename them at any time. The auto-name ensures every POI has a unique, type-based identifier.

3.3 Editing a POI

To edit an existing POI:

  1. Click the POI marker on the map, or click the POI card in the POIs tab of the sidebar.
  2. The POI detail panel opens on the right side of the screen (or as a modal on mobile).
  3. Click Edit to enter edit mode. All fields become editable.
  4. Make your changes to the name, type, notes, measurements, or photos.
  5. Click Save. Changes are saved to Firebase instantly and synced to all collaborators in real time.

Collaborative Edit Protection If another collaborator currently has the same POI open for editing, you will see a yellow indicator: "John Smith is editing this POI." RoadScope prevents conflicting edits by notifying both users in real time.

Moving a POI

To change a POI's location after it has been placed:

  1. Open the POI detail panel.
  2. Click Move POI in the edit menu (⋮ button).
  3. The map enters "move mode" — click the new location on the map.
  4. Confirm the move in the dialog that appears. The POI's coordinates update automatically.

3.4 Media: Photos & Video

Photos are critical evidence in any route survey. RoadScope supports attaching multiple photos and videos to every POI.

Adding Photos

  1. Open the POI detail panel and click Edit.
  2. In the Photos section, click Upload Photo or drag and drop images directly.
  3. Supported formats: JPG, PNG, HEIC, WebP. Videos: MP4, MOV.
  4. Photos are automatically normalized (compressed and oriented correctly) before upload.
  5. If the photo contains EXIF GPS data, RoadScope will offer to update the POI's location to match the photo's recorded coordinates.
  6. Photos appear as a gallery in the POI detail panel and are included in all report exports.

Content-Based Deduplication RoadScope automatically detects duplicate photos — even if you upload the same image twice or under different filenames — using a content hash. Duplicates are rejected with a notification so your survey stays clean.

Multi-Photo POIs

A single POI can hold as many photos as needed. Use this to document multiple angles: approach view, clearance measurement, condition of surface, and signage all in one POI record.

3.5 Voice Notes

The Voice Note POI type lets you record audio observations in the field without stopping to type. This is ideal when driving solo and needing to document something quickly.

  1. Press N on the keyboard (or use the Add POI button).
  2. Select Voice Note as the POI type.
  3. Click the microphone icon in the dialog. Your browser will request microphone permission — click Allow.
  4. Speak your observation clearly.
  5. Click Stop. The recording is automatically attached to the POI and uploaded to Firebase.
  6. Voice notes appear with a waveform icon in the POI list and can be played back from any device.

3.6 Measurements & Badges

Many POI types — especially bridges, wires, and overhead structures — require you to record precise measurements. RoadScope provides a structured measurement system that calculates clearance automatically and assigns visual warning badges.

Recording a Measurement

  1. In the POI edit dialog, scroll to the Measurements section.
  2. Click Add Measurement and select the measurement type: Height, Width, Weight Limit, Grade Percentage, etc.
  3. Enter the value and select the unit (metric or imperial).
  4. Save the POI. The badge is automatically calculated based on the measurement vs. the survey's vehicle configuration.

Badge System

Badges are color-coded visual indicators that appear on the POI marker and in the reports. They are calculated automatically by comparing the measured clearance to the vehicle's overhaul height (set in the survey configuration).

Did You Know? You can manually override the auto-calculated badge on any POI. For example, if a wire is technically within clearance but conditions (ice, sag, temperature) make it risky, you can manually set it to "Danger" to alert the driver.

3.7 Filtering & Bulk Actions

Filtering POIs

When a survey has hundreds or thousands of POIs, filtering is essential. Use the filter bar above the POI list to:

  • Filter by Type — Show only bridges, only power lines, only danger points, etc.
  • Filter by Badge — Show only "Danger" or "Work Required" POIs for efficient review.
  • Filter by Measurement — Show only POIs with a clearance below a specific value (e.g., all wires under 5.5 m).
  • Search by Name — Type any part of a POI name or note to instantly filter.

Bulk Actions

To perform bulk operations on multiple POIs:

  1. Click Select Mode in the POIs tab toolbar.
  2. Click the checkboxes on the POI cards you want to select. Or drag a selection box on the map to select all markers in an area.
  3. A bulk action toolbar appears at the bottom: Archive, Delete, Change Type, Export Selection.
  4. Select the action and confirm the dialog that appears.

Height Management System RoadScope includes a dedicated "Height Management" tool for bulk-deleting or filtering POIs based on recorded measurements. To access it, click Tools → Height Management in the map toolbar. This is useful when cleaning up surveys with many low-priority measurements.
Part 4

Routes & GPS Tracking

4.1 Recording a Route

RoadScope can record your vehicle's GPS path as you drive the route, creating an accurate GPS track that anchors all your POIs in context. This route recording is the foundation of every professional survey report.

  1. Open your map in the editor.
  2. Go to the Routes Tab in the left sidebar.
  3. Click Start GPS Tracking. Your browser requests permission to access your device's GPS — click Allow.
  4. Begin driving. RoadScope samples your position every few seconds and draws your path on the map in real time.
  5. Add POIs at any point during the drive — they are automatically tagged with the exact GPS coordinates and timestamp.
  6. When you reach the end of the segment, click Stop Tracking. The route segment is saved and appears in the Routes list.

Multiple Route Segments You can record multiple segments for the same map. This is useful for routes with turnaround points or multiple legs. Each segment appears as a separate colored line on the map. All segments are included when you export.

GPS Accuracy Indicators

The GPS status indicator in the top navigation bar shows your current accuracy:

  • 🟢 Green — High accuracy (within 5 meters)
  • 🟡 Yellow — Moderate accuracy (5–20 meters)
  • 🔴 Red — Poor accuracy (>20 meters or signal lost)

Always wait for a green GPS signal before recording critical measurements.

4.2 GPS Elevation Profile

The Elevation Profile tool creates a visual graph of your route's vertical terrain — showing rises, declines, and steep grades that affect heavy haul feasibility. This is especially important for loads with weight distribution constraints or that require special braking configurations on downhill grades.

  1. In the Routes tab, click a recorded route segment.
  2. Click View Elevation Profile.
  3. RoadScope samples coordinates along the route and fetches elevation data from the Google Elevation API.
  4. An interactive elevation chart appears, showing altitude above sea level along the horizontal distance of the route.
  5. Click any point on the chart to jump the map to that location.
  6. Steep sections (grades exceeding 8–12%) are automatically highlighted in red.

4.3 Street View Integration

RoadScope integrates with Google Street View to give you and your clients a ground-level perspective of every point on the route — from the comfort of the office, before any equipment moves.

  1. Press S on the keyboard, or click the Street View icon in the map toolbar (👁 icon).
  2. The map enters Street View placement mode. A pegman icon follows your cursor.
  3. Click anywhere on the route to drop the pegman and open Street View at that location.
  4. Use the Street View viewer to look in any direction, pan, tilt, and zoom.
  5. Click any Road View thumbnail to navigate forward or backward along the route.
  6. Close Street View with the X button or press Escape.

4.4 Bulk Street View Capture

The Bulk Street View Capture tool automatically captures a Street View screenshot at every POI along the route. This creates a comprehensive photo log of the entire route in minutes — without manually visiting each POI's location.

  1. Click Tools → Bulk Street View Capture in the map toolbar.
  2. The system displays a preview of how many POIs have Street View coverage in your area.
  3. Click Start Capture. RoadScope processes each POI sequentially.
  4. Progress is shown in real time. Captures typically take 1–3 seconds per POI.
  5. When complete, each captured image is attached to the corresponding POI as an additional photo.
  6. All Street View captures are included in the PDF report's "Photo Log" appendix.

AI Visual Pack After Bulk Street View Capture, you can export an "AI Visual Pack" — a ZIP file containing all captured images, organized by POI, with metadata. This can be processed by AI tools for additional analysis.
Part 5

Sharing & Collaboration

RoadScope is built for teams. Whether you are a solo surveyor sharing results with a client, or a large operations team with multiple surveyors working on the same project simultaneously, RoadScope's collaboration tools keep everyone on the same page — in real time.

5.1 Sharing a Map

Every map in RoadScope can be shared with other users in two ways:

Method 1 — Invite a Collaborator (Full Account Access)

This gives another RoadScope user access to the map through their own account. They can view or edit the map depending on the role you assign.

  1. Open the map you want to share.
  2. Click the Collaborate button in the top navigation bar (👥 icon).
  3. In the Collaboration dialog, click Invite Collaborator.
  4. Enter the collaborator's email address. If they have a RoadScope account, their name appears. If not, they receive an invitation email.
  5. Select their permission level (see Section 5.2 below).
  6. Click Send Invitation. They receive an email with a link to accept.
  7. Once accepted, the map appears in their Shared with Me tab.

Method 2 — Public Share Link (No Login Required)

Generate a public URL that anyone can view — no RoadScope account needed. This is ideal for sharing survey results with clients, engineers, or permit agencies.

  1. Open the map and click Share Map in the map toolbar.
  2. Toggle Enable Public Link on.
  3. Copy the generated URL (format: roadscope.app/share/your-map-name).
  4. Send the link to anyone. They can view the map, all POIs, and their details — but cannot edit anything.

Map ID Every map has a unique Map ID displayed in the Map Information panel (look for the ID card icon). You can copy the Map ID to share with RoadScope support for troubleshooting, or to add a collaborator by ID.

To change a collaborator's role after they have accepted: go to the Collaboration dialog, find their name, click the role badge, and select the new role from the dropdown.

5.3 Real-Time Presence & Cursor Sharing

When multiple team members have the same map open simultaneously, RoadScope shows each user's position and activity in real time:

  • Presence Indicator — A colored dot next to each collaborator's avatar shows if they are online (green), idle (yellow), or offline (gray).
  • Activity Badge — Shows whether a user is "Viewing" or "Editing" the map.
  • Live Cursor — See each collaborator's mouse cursor moving on the map in real time, labeled with their name.
  • Edit Lock — If a collaborator is editing a specific POI, that POI is highlighted with their color and cannot be edited by others simultaneously.

Firebase Realtime Database Presence and cursor sharing use Firebase's Realtime Database for sub-100ms latency. Changes appear instantly on all collaborators' screens without page refresh.

5.4 Comments System

RoadScope includes two separate commenting systems for different collaboration contexts:

Project Comments (Team Use)

Accessible via the Collaboration tab → Comments sub-tab. Used by invited team members to discuss the survey internally.

  • Categories: General, Question, Review Request, Needs Correction, Missing Information
  • Status: Pending → In Progress → Done / Rejected / Closed
  • Threaded replies — the map owner (or admins) can respond to comments
  • Email notifications are sent to all collaborators when a new comment is posted

Shared Map Comments (Client Use)

Anyone viewing the public shared map link can leave a comment — no account required. This is how clients and permit agencies provide feedback on a survey.

  1. Open the public shared map link (roadscope.app/share/map-name).
  2. Click the Leave a Comment button in the bottom toolbar.
  3. Select a comment category: General, Question, Request Approval, Needs Correction, Missing Information.
  4. Type your comment and click Submit. Your comment is attached to the map immediately.
  5. The map owner and all collaborators receive an email notification.

Map owners manage public comments from the Collaboration → Comments tab. They can reply, change status, and close comments.

5.5 Shared Map — Public View

The public shared map is the client-facing view of your survey. It is a clean, professional read-only interface that shows the full route with all POIs, measurements, and photos — exactly as you documented them, without any editing controls.

6.1 Importing Data

RoadScope's Unified Import Orchestrator can import POI and route data from over 15 different file formats. This allows you to bring existing survey data into RoadScope from other tools, hardware devices, or past projects.

How to Import

  1. Open your target map in the editor.
  2. Click Import in the top toolbar (↑ icon) or drag a file onto the map.
  3. Select your file(s). RoadScope automatically detects the format.
  4. A preview screen shows the data that will be imported. You can review, deselect, or remap fields.
  5. For CSV files with custom column names, the Field Mapper lets you match your columns to RoadScope's POI fields (e.g., your "LAT" column → RoadScope's "Latitude").
  6. Click Import. Progress is shown in real time. An import report appears when complete, listing successes, duplicates skipped, and any errors.

Server-Side Deduplication RoadScope checks for duplicate POIs during import by comparing GPS coordinates and content. Duplicate POIs (within 1 meter of an existing POI) are automatically skipped with a notification, keeping your survey clean.

6.2 Export Formats

When your survey is complete, RoadScope can export your data in multiple professional formats for use in reports, GIS tools, permit applications, and engineering software.

How to Export

  1. Open the map you want to export.
  2. Click Export in the top toolbar (↓ icon), or press E.
  3. The Export dialog opens. Select your desired format(s).
  4. Configure export options (coordinate system, altitude mode, what POI types to include).
  5. Click Export. A ZIP or individual file downloads to your device.

Coordinate Reference System (CRS)

For GIS exports (GeoJSON, Shapefile, KML), you can select the coordinate system:

  • WGS84 (EPSG:4326) — Default, GPS coordinates, used worldwide
  • Web Mercator (EPSG:3857) — Used by Google Maps, OpenStreetMap
  • NAD83 — Standard for North American government GIS
  • Custom EPSG — Enter any EPSG code for regional projections

6.3 GeoPDF Map Book

The GeoPDF Map Book is RoadScope's most advanced export format. It creates a georeferenced PDF document that, when opened in a GIS application like Avenza Maps on a smartphone, functions as an interactive, GPS-enabled map of your route — completely offline.

What is a GeoPDF?

A GeoPDF is a standard PDF file with hidden geographic metadata embedded using the OGC 08-139r1 standard. When opened in a compatible app, the app reads this metadata and uses it to display your exact GPS position on the map in real time — turning the PDF into a live navigation aid.

Creating a GeoPDF

  1. Click Export → GeoPDF Map Book.
  2. Select the map area to capture (current view, full route bounds, or custom area).
  3. Choose the map type: Road, Satellite, or Hybrid.
  4. Set the resolution (72 DPI for web, 150 DPI for print, 300 DPI for high quality).
  5. RoadScope renders the map server-side using GDAL tools and creates the georeferenced PDF.
  6. Download the GeoPDF. It can be imported directly into Avenza Maps or QGIS.

6.4 Map Merge / Consolidation Wizard

When multiple surveyors record different parts of the same route in separate surveys, the Map Merge (Consolidation) Wizard combines them into a single unified survey.

  1. Click Tools → Consolidation Wizard in the map toolbar.
  2. Upload the MeasurePRO ZIP exports you want to merge (multiple files supported).
  3. The wizard scans each file and shows a preview of: total POIs found, duplicates detected, media files, and estimated final size.
  4. Review the deduplication report. Toggle which duplicates to keep or merge.
  5. Configure the output: single large survey, or split into segments (e.g., 1,000 POIs per file).
  6. Click Consolidate. The merged survey is created and added to your My Maps list.

6.5 Region Extract

The Region Extract tool creates a brand-new survey from just the POIs that fall inside a single state or province you click. The original survey is never changed — POIs (with their photos, measurements, and data) are copied into the new survey.

  1. Open the source map and click Tools → Region Extract. State and province boundaries appear over the map.
  2. Click any state or province. A dialog shows how many POIs from your current survey fall inside that region.
  3. Give the new survey a name and click Create Survey. It appears in your My Maps list with only the POIs from that region.

Tip: A built-in explainer is available any time from the ? icon next to Region Extract in the Tools menu.

6.6 MeasurePRO Integration

RoadScope connects directly to MeasurePRO — SolTec Innovation's hardware measurement system — through a secure REST API.

Syncing MeasurePRO Data

  1. Go to Settings → MeasurePRO API and enter your API key (provided with your MeasurePRO device).
  2. Click Sync Now. RoadScope pulls all new survey data from your MeasurePRO device over the API.
  3. Use the Field Mapper to match MeasurePRO's data fields to RoadScope's POI fields (e.g., poitype → Type, heightm → Height Measurement).
  4. Confirm the import. All synced data is added to the active map.
Part 7

Reports & Documentation

Reports are how your survey data becomes actionable information for clients, permit agencies, engineers, and drivers. RoadScope generates interactive HTML reports — self-contained deliverables with live maps, photo galleries, and a public share link — all produced from the Reports Hub.

HTML report engine RoadScope's report suite is fully HTML-based. The legacy client-side PDF report generators (Quick Survey PDF, Full Report Editor PDF, Ontario TMP PDF) have been retired; every deliverable is now an interactive HTML report that can be shared by link, opened offline, and printed to PDF from the browser when a paper copy is required.

7.1 Reports Hub

The Reports Hub is the single launcher for every report type on the active survey. Open it from Tools → Report Hub. Each report card shows what the report is for; select one, fill in its options panel, and generate. Every generated report:

  • Is saved automatically to the survey's Files tab
  • Receives a public share link — recipients need no RoadScope account
  • Lands in the Document Hub with a sequential version label (V01, V02, V03 …)

7.3 Envelope Reports

The two envelope reports answer the permit office's core question: does this load fit this route?

  1. In the Reports Hub, select Envelope Report or Maximum Envelope Report (Interactive).
  2. Fill in the identity fields (Report ID, Revision, Client / company, Origin address, Destination address, survey dates, and logos).
  3. Add loads with + Add load: each load has a PO / Load ID, commodity, trailer type, length, width, height, and weight. Blank dimensions render as "TBC"; the governing envelope takes the maximum dimension across all loads.
  4. Set the default load height/width used by the interactive simulator, choose the language (English / Français), and generate.

After generation you receive the public share link plus a creator edit link — open it to correct the delivered page; saving regenerates the same URL so clients always see the latest revision.

7.4 AI Report Studio

The AI Report Studio drafts the narrative parts of a professional survey report from your live survey data.

  1. In the Reports Hub, choose AI Report Studio and click Start AI Analysis. The AI analyzes POIs, clearances, bridges, grades, and rail data.
  2. Review the editable Executive Summary (Headline, Overview, Top Risks) and the per-section Justification, Key Findings, and Recommendations. Use Regenerate or Re-analyze as needed.
  3. Optionally upload a custom report template (.pdf, .docx, or .html). Extracted sections are mapped automatically; ambiguous sections must be confirmed, manually defined, or excluded before the template can be activated.
  4. Use Revise the report to request narrative changes conversationally — you review before/after diffs and choose Apply edits or Discard.
  5. Clear the Pre-publish checklist, then click Generate Final Report.
Numbers stay deterministic The AI is a narrator, never a calculator. Engine-derived measurements, verdicts, and risk levels are refused with "Override required — not applied"; changing them requires an explicit, permanently-logged override with justification. Each analysis also consumes one draft from your plan's monthly AI report draft allowance.

7.5 Generating & Sharing Reports

  • Branding — Company logo, name, and contact details appear on the report cover.
  • Share link — Every report gets a public URL; send it to clients, agencies, or drivers directly.
  • Files tab — Generated reports auto-save to the survey's Files tab for later retrieval.
  • Printing — Reports are print-optimized; use the browser's Print to PDF for paper or attachment copies.

OS/OW Regulations

The OS/OW Regulations module is one of RoadScope's most powerful features for permit agents and route planners. It provides instant access to oversize/overweight permit requirements for over 60 jurisdictions across the United States and Canada — without leaving your map.

8.1 Jurisdiction Coverage

RoadScope covers permit regulations for:

  • All 50 US States — Including state-specific weight limits, curfew hours, and permit fees
  • All 13 Canadian Provinces & Territories — Including Ontario, Quebec, BC, Alberta, Manitoba, Saskatchewan, and more
  • Federal US Regulations — FHWA National Network rules and Interstate weight limits
  • Federal Canadian Regulations — Transport Canada guidelines

Regulation Categories

For each jurisdiction, RoadScope provides data in these categories:

  • Maximum dimensions (height, width, length, overhang)
  • Maximum weights (single axle, tandem, gross vehicle weight)
  • Permit fee schedule
  • Pilot/escort vehicle requirements
  • Police escort thresholds
  • Travel hour restrictions (curfews, peak hour bans)

8.2 Using the Regulations Tab

  1. Open your map and go to the OS/OW Regulations Tab in the left sidebar.
  2. Click Select Jurisdictions and choose all states/provinces your route passes through.
  3. Enter your vehicle's dimensions and weights in the fields provided (height, width, length, weight per axle).
  4. Click Analyze Route. RoadScope checks your dimensions against the rules of each selected jurisdiction.
  5. Results appear as a jurisdiction-by-jurisdiction breakdown: which permits are required, which escort rules apply, and what fees are expected.

AI Permit Summary

For complex multi-jurisdiction routes, click the AI Summary button. The AI reads all the applicable regulations and generates a plain-English summary explaining:

  • Which permits you need and from whom
  • How many escort vehicles are required
  • What time restrictions apply
  • Any special conditions or flags for your load dimensions

This summary can be included directly in your reports or shared with the permit agent for review.

Part 9

RoadScope Navigator — Mobile Navigation

RoadScope Navigator (short form "Navigator") is the driver-facing companion to RoadScope. It is a mobile Progressive Web App (PWA) designed specifically for truck drivers, pilots, and escorts on an active heavy haul move. It provides turn-by-turn navigation along the surveyed route, with proximity alerts for every critical POI the surveyor documented.

Available To: RoadScope Navigator is available on the Operator plan and above (up to 3 vehicles on Operator, unlimited on Enterprise). Each vehicle requires a separate RoadScope Navigator Execution License.

9.1 Overview & Installation

RoadScope Navigator runs in a mobile browser — Chrome on Android or Safari on iOS. No app store download is required. It is installed directly as a PWA.

Installing RoadScope Navigator on a Smartphone

  1. Open Chrome (Android) or Safari (iOS) on the driver's phone.
  2. Navigate to roadscope.app/navigator (the older /soltecnav address still redirects).
  3. Android: Tap the ⋮ menu → "Add to Home Screen." iOS: Tap the Share button → "Add to Home Screen."
  4. The app icon appears on the home screen. Tap it to launch RoadScope Navigator as a full-screen app.
  5. The first launch downloads navigation data, voice prompts, and route data to the device for offline use.

9.2 QR Code Route Import

Drivers import their assigned route using a QR code generated in RoadScope's desktop interface. This eliminates manual data entry and ensures the driver follows the exact surveyed path.

In RoadScope (Desktop — Dispatcher Side):

  1. Open the survey map in RoadScope.
  2. Click Share → RoadScope Navigator Export.
  3. Configure what the driver will see: which POI types to display, which to hide.
  4. Click Generate QR Code. A large QR code appears on screen.

In RoadScope Navigator (Mobile — Driver Side):

  1. Open RoadScope Navigator on the driver's phone.
  2. Tap Scan QR Code.
  3. Point the camera at the QR code displayed by the dispatcher.
  4. The route, POIs, and navigation data are imported to the device instantly.
  5. Tap Start Navigation to begin the guided move.

9.3 Navigation Features

Turn-by-Turn Guidance

As the driver follows the route, RoadScope Navigator provides:

  • Voice instructions in English or French ("In 300 metres, turn left onto Regent Street North")
  • Visual arrows and distance countdown to the next turn
  • Route progress bar showing position along the total route
  • Off-route warnings — alert and auto-recalculation when the driver deviates from the surveyed path
  • Current speed display

POI Proximity Alerts

As the vehicle approaches documented hazards, RoadScope Navigator alerts the driver automatically:

  • Visual popup showing the approaching POI's name, type, and any measurements
  • Audio alert (beep or voice announcement)
  • Alert distance is configurable (default: 200 m for bridges, 100 m for intersections)
  • POIs marked Danger trigger a more prominent red alert with sustained audio

Offline Operation

Once a route is imported, RoadScope Navigator operates fully offline:

  • Route data, POIs, and voice prompts stored in IndexedDB on the device
  • Map tiles cached for offline display
  • GPS tracking continues without any cellular connection
  • When a connection is restored, position data can be synced back to the RoadScope survey for record-keeping

Time Tracking & Timesheets

RoadScope includes a built-in time tracking system that automatically records how much time you spend on each survey project. This is valuable for billing clients accurately, understanding project costs, and generating payroll data for field teams.

10.1 Auto-Tracking

RoadScope automatically starts tracking time when you open a map and stops when you close it or when the browser goes idle for more than 5 minutes (idle detection). Each time tracking entry records:

  • Project (map) name
  • Activity type (Survey, Review, Export, Report writing)
  • Start time and end time
  • Total duration
  • Billable classification (Billable, Non-Billable, Internal)

10.2 Weekly Timesheets

Access the full timesheet view at roadscope.app/timesheet. The timesheet shows:

  • Current week's hours, broken down by day and project
  • Total billable hours for the week
  • A weekly summary table for payroll or invoicing
  • Edit any entry: correct times, change billing classification, add notes

10.3 Admin Approval

On Enterprise plans, timesheets go through an approval workflow:

  1. At the end of each week, users click Submit Timesheet.
  2. The team manager receives a notification to review and approve.
  3. Approved timesheets are locked and included in the monthly billing summary.
  4. Rejected timesheets are returned with a note explaining what needs correction.

Your profile is your personal control center in RoadScope. Access it by clicking your name or avatar in the top-right corner of any page, then selecting My Profile.

11.1 Account Settings

The Account section lets you update your personal information:

  • Profile Photo — Upload a profile picture (appears in collaboration presence indicators)
  • Display Name — The name shown to collaborators
  • Company Name — Appears on exported reports
  • Phone Number — Used for SMS verification and urgent support contact
  • Address — City, Province/State, Postal Code, Country

Email Verification

A green checkmark next to your email means it is verified. If you see an amber warning, click Verify Email to resend the verification link.

Phone Verification

Click Verify Phone and enter your phone number. A 6-digit code is sent via SMS. Enter the code to verify. Phone verification is required for accounts that use SMS-based features.

Changing Your Password

  1. In Account Settings, click Security & Password.
  2. Enter your current password, then enter and confirm your new password.
  3. Click Update Password. You remain logged in; the change takes effect immediately.

11.2 Maps & Sharing

The Maps & Sharing section provides an overview of your collaborative activity:

Your Shared Maps

Shows all maps you have shared publicly or with specific collaborators. For each shared map you can see:

  • The map name and last modified date
  • Number of collaborators and their roles
  • Public link status (on/off)
  • Total view count

To remove a collaborator from a map, click the collaborator's name and select Remove.

Maps Shared With You

Lists all maps where you are a collaborator. If you no longer need access to a shared map, click Leave Collaboration to remove yourself.

Quiet Hours

Configure a "Do Not Disturb" time window to suppress push notifications during off-hours. For example, disable push notifications between 10 PM and 7 AM. Email notifications are not affected by quiet hours.

Configure which AI provider powers RoadScope's AI features in your account:

To set up AI:

  1. Go to Profile → AI Preferences.
  2. Select your preferred AI provider.
  3. Enter your API key (obtained from the provider's website).
  4. Click Verify to test the connection.
  5. Save. AI features across the platform will now use your configured provider and API key.

API Key Storage Your API key is stored securely in Firebase and is never logged or shared. RoadScope uses it only for requests you initiate from within the platform.

11.5 Support Tickets

Submit and track support requests directly from within RoadScope:

  1. Go to Profile → Support.
  2. Click New Ticket.
  3. Fill in: Subject, Category (General, Billing, Technical, Feature Request, Bug Report), Priority (Low, Normal, High, Urgent), and a detailed description.
  4. Attach screenshots if helpful.
  5. Click Submit. You receive an email confirmation with a ticket number.

You can view all your open and closed tickets in the My Tickets list. Click any ticket to read the conversation and add follow-up messages.

11.6 Data Backup

RoadScope automatically backs up your data to Firebase Cloud daily. You can also create manual backups and export all your data at any time.

Exporting All Your Data

  1. Go to Profile → Backup & Data.
  2. Click Export All Data.
  3. A comprehensive JSON file is generated containing all your surveys, POIs, routes, settings, and preferences.
  4. Download the file and store it securely as an offline backup.

Manual Snapshots

Click Create Snapshot to save the current state of all your data to Firebase at any moment. This is useful before performing large import operations or major survey restructuring. Snapshots are stored for 30 days and listed with their creation date and data size.

12.3 Hardware Bundle Access

If you purchased a MeasurePRO hardware device from SolTec Innovation's online store, you receive a complimentary RoadScope access bundle:

  • 6-Month Bundle — 6 months of Operator-level access
  • 12-Month Bundle — 12 months of Operator-level access

Hardware bundle accounts are provisioned by SolTec administrators. Your access expiry date is shown:

  • In the banner at the top of every page (amber banner when <14 days remain, red when <3 days)
  • In your Profile → Subscription page

When your hardware bundle expires, your account is automatically downgraded to Free Viewer. Your maps and data are never deleted. Upgrade to a paid subscription at any time to restore full access.

Upgrading Your Plan

  1. Go to Profile → Subscription or visit roadscope.app/pricing.
  2. Click Upgrade Plan next to the plan you want.
  3. You are redirected to the Stripe Checkout page. Enter your payment details.
  4. After payment, your plan upgrades immediately and all limits are updated.

Managing Your Subscription

Click Manage Billing in Profile → Subscription to access the Stripe Billing Portal where you can:

  • View your invoice history
  • Update your payment method
  • Download receipts for accounting
  • Cancel your subscription
  • Change billing interval (monthly ↔ annual)

Admin Panel

The Admin Panel is available exclusively to RoadScope administrators (SolTec Innovation staff). It provides full visibility and control over the entire platform — users, subscriptions, maps, content, and system configuration.

Admin pages are accessible at roadscope.app/admin. The admin sidebar provides navigation to all management areas:

13.1 User Management

The Users Management page (/admin/users) is the most-used admin tool. It provides a searchable, filterable table of every registered user on the platform.

Available Admin Actions Per User

  • Impersonate — Sign in as this user for troubleshooting (generates a temporary token; all actions are logged)
  • Delete — Permanently delete the user's account and all associated data

User Deletion is Irreversible Deleting a user removes their Firebase Auth account, Firestore profile, all maps, and all associated data permanently. This cannot be undone. If the user simply needs to be blocked, use Suspend instead.

Pending Approval Queue

New registrations appear in the Approval Panel (/admin/approvals) with status "Pending Approval." Admins can review the user's details and click:

  • Approve — Activates the account. The user receives a welcome email and can now log in.
  • Reject — Declines the registration. The admin can optionally provide a rejection reason, which is sent to the user by email.

13.2 Creating Users (Hardware Bundle Provisioning)

Administrators can create user accounts directly — without requiring the user to go through the self-registration flow. This is primarily used for MeasurePRO hardware bundle customers.

Creating a New User

  1. Navigate to /admin/users.
  2. Click Create User in the top-right corner.
  3. Fill in the new user's details:
    • Full Name (required)
    • Email Address (required — must be unique on the platform)
    • Phone Number (optional)
    • Company Name (optional)
  4. Select the Access Model:
    • Free Viewer — Basic read-only access, no expiry
    • Hardware Bundle — 6-month or 12-month complimentary access (select duration)
    • Lifetime Access — Permanent, non-expiring access
    • Recurring Subscription — Standard paid subscription tier
  5. For Hardware Bundle: select the duration (6 months or 12 months). A preview of the expiry date is shown automatically.
  6. Select the Subscription Tier to assign (defaults to Pro for Hardware Bundle users).
  7. Toggle Send Invitation Email on or off (on by default).
  8. Click Create User.

The system will:

  • Create a Firebase Auth account for the user
  • Generate a secure temporary password (format: RS-XXXXXXXX)
  • Write all profile and access data to Firestore
  • Send a branded invitation email containing the temporary password and access details

After creation, a success screen shows the generated temporary password with a copy button. Store this securely — the password is only shown once.

Access Expiry Reminders

RoadScope automatically manages hardware bundle expiry:

  • 14-day reminder: Users receive an email warning 14 days before their access expires (sent once only).
  • Expiry day: The account is automatically downgraded to Free Viewer. Data is preserved.
  • In-app banner: A colored banner appears at the top of the user's screen starting 14 days before expiry.
  • Blocking modal: On the day of expiry, a full-screen modal informs the user and provides an Upgrade button.

To manually trigger the expiry check (useful for testing or ad-hoc runs), use the Admin API: POST /api/admin/check-expiring-access.

13.3 Subscription Management

The Subscription Management page (/admin/subscription-management) gives administrators direct control over user billing and entitlements:

  • Change Tier — Instantly update any user's subscription tier without going through Stripe
  • Grant Complimentary Access — Give a user temporary Enterprise-level access for 7, 14, or 30 days
  • Process Refund — Initiate a refund through the Stripe API directly from the admin interface
  • Cancel Subscription — Cancel a user's active Stripe subscription
  • View Invoice History — See all invoices for any user, with links to Stripe's hosted invoice pages

Financial Overview

The dashboard shows:

  • Monthly Recurring Revenue (MRR)
  • Net Revenue vs. Total Paid (showing refunds)
  • Subscription distribution by tier (pie chart)
  • Churn rate and new subscriptions over time

13.4 Map Support Access

The Admin Map Support page (/admin/map-support) allows support agents to view any user's map for troubleshooting without knowing the user's credentials.

  1. Navigate to /admin/map-support.
  2. Enter the Map ID of the map you need to access. (Users find their Map ID in the Map Information panel — it's a unique ID with a copy button.)
  3. Click Look Up Map. The system shows the map name, owner information, collaborators, and POI count.
  4. Click Grant Support Access. The map is added to the admin's "Shared with Me" section.
  5. Open the map and diagnose the issue.
  6. When done, click Revoke Support Access to remove yourself from the map.

Audit Trail All support map access grants and revocations are logged permanently in the admin_map_access_log Firestore collection. Each entry records the admin's email, the map ID, the owner, and the timestamp.

13.5 Analytics, Settings & Other Tools

Platform Analytics

Available at /admin (Dashboard). Shows:

  • Total registered users / active users (last 30 days)
  • Total maps created / total POIs across the platform
  • Shared map view counts
  • Daily/weekly/monthly activity charts
  • User growth over time

Feature Flags

At /admin/feature-flags, administrators can toggle beta features on or off for all users or specific test accounts. This allows controlled rollout of new functionality before general release.

Maintenance Mode

At /admin/maintenance, toggle the platform into maintenance mode. All non-admin users see a maintenance screen with a custom message and estimated restoration time. All admin access remains active.

OS/OW Regulations Scraper

At /admin/regulations-scraper, trigger automated scrapers to update permit regulations from official government sources. Schedule scrapers to run weekly or trigger a manual update at any time.

Email Templates

At /admin/email-templates, view and edit the HTML templates for all system emails: invitation, expiry reminder, welcome, approval, rejection, and password reset emails.

Knowledge Base Management

At /admin/knowledge-base, create and edit articles that appear in the user-facing Knowledge Base at roadscope.app/knowledge-base.

Part 14

Advanced Analysis & Live Operations

This part covers RoadScope's newer analysis and live-operations tools: corridor monitoring with Route Watch, scenario-based transport studies, swept-path and grounding simulation, POI Discovery, live road events, the rail clearance workspace, the 3D Digital Twin, live dispatch, the Client Delivery Portal, OS/OW project management, and the Max Load Agent.

14.1 Route Watch

Route Watch continuously scans a saved route's corridor — the route line plus a configurable buffer — for new, changed, and lifted road events, scored against your convoy envelope (height, width, length, gross weight). Coverage currently spans the Québec road-event network.

  1. In the Routes tab, click the bell icon on a route card, or open the Route Watch drawer from the Tools menu and click Start a watch.
  2. If no convoy data exists, the Declare convoy envelope dialog asks for Height, Width, optional Length, and Gross weight (height + width or gross weight is required).
  3. In Configure watch, set the start and end dates (default 30 days, max 180), the Corridor buffer (25–500 m, default 75 m), and notifications — in-app alerts are always on, with an optional email digest.
  4. Click Activate watch. A baseline scan runs immediately.

Watched routes report blocking verify info event counts. Each event shows a severity chip, a state (New, Updated, Lifted, or Active), the road, reason, and distance along the route. Acknowledge events with the eye control; unacknowledged alerts ring the route's bell with a numeric badge, and the map header shows a Watch active radar badge. From the detail view use Scan now, Pause/Resume, or End watch.

Honest scans A scan that could not fully evaluate the corridor (for example when an upstream feed is down) is reported as incomplete — RoadScope never calls a failed scan "corridor clear".

14.2 Scenarios (Transport Studies)

Scenarios are named study views on a survey. They scope which POIs, routes, and files are displayed — no data is duplicated or moved.

  • Create / switch — Click the scenario dropdown above the map (it shows the active scenario name or Main study) and choose New scenario, or pick an existing scenario. Main study is the unfiltered default view.
  • Corridor matching — An active scenario automatically shows POIs inside the corridors of its routes, recomputed as routes and POIs change.
  • Pin / hide — With a POI selected, Pin to scenario includes it even outside the corridor match; Hide from scenario excludes it. Both are scenario-specific and reversible.
  • Manage — Each scenario offers Rename, Duplicate, and Delete. Deleting a scenario keeps all routes and files — they return to Main study. Shared maps can be scoped to a single scenario.

14.3 SweptPRO Intersection Analysis

SweptPRO simulates your full vehicle combination through an intersection and delivers a defensible pass/fail verdict.

  1. Select a Turn POI and choose Analyze intersection swept path (requires SweptPRO access).
  2. Define the boundary: Auto-suggest from road data or Draw boundary manually (click vertices, double-click to close), then Accept boundary.
  3. Pick the vehicle combination from the Equipment Library and run the simulation.
  4. Refine the path: drag handles, double-click the line to add a point, right-click / long-press a handle to delete. The simulation re-runs automatically.
  5. Save with an analysis name and report profile (or Save as new version). Saved results attach to the POI and appear in the Turn-by-Turn report; the Project Report consolidates verdicts across all analyzed intersections.

Verdicts: PASS CONDITIONAL PASS (passes only if flagged removable obstacles are removed) FAIL. A Simulation error indicates a setup problem, not a physical FAIL — fix and re-simulate. Details include maximum clearing length/width, minimum edge clearance, and collisions.

14.4 Vertical (Grounding) Analysis

The collapsible Vertical profile panel under the analysis map screens the approach for grounding risk — where a ridge between the load's support points can contact the trailer or load.

  • Supply a profile — Sample elevation along the guideline via the API (guideline must be ≥10 m) or Import CSV profile with s,z columns in metres. API profiles are marked "Approximate profile (±1–2 m) — for screening only, do not use for permit verdicts."
  • Read the result — Charts show the terrain, the vehicle silhouette, and a clearance curve. Results are ✓ PASS, ✗ FAIL – Grounding, or ERROR, with the minimum clearance location and approach / departure / breakover angles.
  • Combined verdict — With both horizontal and vertical analyses saved, the analysis shows a combined PASS (H+V) or FAIL (H+V).

14.5 POI Discovery

POI Discovery pulls relevant constraint POIs from community and external data onto your map. Open it from Tools → POI Discovery on the active map.

  • ScopesRoute corridor (with a buffer in metres), Map area (current visible view), Radius (km around a centre point), or Region (province / state).
  • Dimension filters — Restrict to Height, Width, or Both with numeric thresholds so only constraints relevant to your load appear.
  • Add to route — Results are grouped by type with counts and distances. Tick the POIs you want and click Add to route. POIs owned by other organizations can be requested with an optional message to the owner.

14.6 Road Events Overlay

In the Route Generator, click the orange Events button to overlay current road events on the candidate route: closures construction / incidents restrictions. Click any marker for type, description, cause, road/direction, municipality, and dates; the collapsible Road Events panel lists every event and pans the map to it. A visible warning reports the last refresh time if the data is stale.

14.7 Rail Miller

Rail Miller (Tools → Rail Miller) is the dedicated OS/OW rail clearance workspace. Document rail crossings on your corridors, search community-sourced rail constraint records, and consult the jurisdiction-specific OS/OW Rail Rules Reference Library. Rail crossing details captured here also feed the Rail Information report in the Reports Hub.

14.8 3D Digital Twin

The 3D Digital Twin overlays photorealistic 3D models on terrain for site visualization, staging review, and client presentation.

  1. Click the 3D tab from any project map to switch to the 3D terrain view with your route, POIs, and placed models.
  2. Click Add Model, upload a plain GLB file, and drag it to its real-world GPS position. RoadScope auto-grounds the model at the correct altitude; set orientation and lock it in place.
  3. Convert CAD drawings via Tools → Convert to 3D Model (DXF or IFC → optimized GLB) — no CAD software required.
  4. Browse the Global 3D Model Library of community-contributed OS/OW structures and place them with a live preview.
  5. Use Measure on any model card and click two points for a straight-line distance in your workspace unit.

14.9 NAV Live Dispatch

NAV Live Dispatch (Map header → Dispatch) bridges the office and the cab in real time. See active RoadScope Navigator surveyors live on the office map with their current GPS position, speed, and last-update time. Push a revised route to a specific surveyor — they Accept to switch instantly or Save for Later — and exchange field notes both ways.

14.10 Client Delivery Portal

The Client Delivery Portal hands the client a live, branded interactive map of the survey via a single link — no login or software install required. Updates you make in RoadScope are reflected automatically. Recipients can filter POIs by type and dimension ranges, use the height-clearance banner to highlight conflicts for their specific load, view photo thumbnails in POI popups, and leave categorized comments (General, Question, Approval Request, Needs Correction, Missing Information) that notify the map owner by email.

14.11 OS/OW Project Management

OS/OW Project Management adds timelines, milestones, and deliverable tracking to complex multi-phase operations.

  • Create a project — From the dashboard, click New OS/OW Project and enter the project name, client, expected move date, and jurisdictions.
  • Timeline & milestones — Phases (Pre-Survey, Field Survey, Report Preparation, Permit Submission, Move Execution) render as horizontal bars, with milestones pinned at critical dates.
  • Deliverable tracker — Every required output lists an owner, due date, status (Pending → In Review → Complete → Blocked), and a direct link to the generated artifact in the Document Hub.
  • Notifications — Email reminders 7 days and 1 day before each milestone; overdue milestones surface as red indicators.

14.12 Max Load Agent

Max Load is a chat agent that drives RoadScope for you. Open it from the map tool palette (or the floating Max Load button elsewhere in the app). Ask it to list maps and routes, search POIs and POI Discovery, or run Route Intelligence scans — e.g. "show me the rail crossings on this route".

Proposals, never surprises Every write operation is a proposal: Max Load shows a summary with Before / After details, and you choose Apply or Skip. Nothing is changed without your confirmation, and every applied action is logged. Route Intelligence calls obey your normal RI credit limits.

14.13 Corridor Intelligence Decisions

Corridor Intelligence supports an evidence-based decision; it does not replace current permits, engineering review, utility confirmation, field measurement, or professional judgment. Review the route version, convoy envelope, scan time, buffer, jurisdictions, and selected sources before reviewing findings.

  1. Review coverage first. Inspect every source status and its geographic and time coverage. A scan only speaks for the sources, area, and period actually evaluated.
  2. Triage findings and alerts. Review blocking, verify, and informational findings and New, Updated, Active, and Lifted events. Configure Route Watch through the planned move date and assign alert review.
  3. Verify critical evidence. Check source authority, observation time, confidence, location, units, and applicability to the declared load. Resolve contradictions and use suitable current field, engineering, owner, utility, or authority evidence where required.
  4. Preserve the decision. Record the rationale, assumptions, exceptions, reviewer, and follow-up. Open Evidence Registry to review observation history and supersession before creating a decision dossier.

Product Manual

This part is the printable copy of the in-app Product Manual (/manual) and is generated from the same source, so the two cannot drift apart: every manual section appears here in the same order, with its review date and pointers to the hand-written parts of this handbook that expand on it.

15.1 Getting Started in RoadScope

A first project from sign-in to a delivered route.

  1. Sign in & open the workspace. Log in, then open the Map workspace from the home screen. The header shows your active map, Tools, Share, and your profile.
  2. Create a project (route record). In the Routes tab, click "Plan a Route" to draw or import a corridor. Each route is a project record that POIs, photos, documents, reports, and deliveries attach to.
  3. Document the route. Add POIs (35+ purpose-built types), attach geo-tagged photos, and capture clearance measurements. Tag each item with a phase: Preplan, Road Survey, or SharedMap.
  4. Generate deliverables. Open the Reports Hub to produce interactive HTML reports — the Route Survey Report (master), Clearance Profile, Envelope Report, and more — plus the Client Delivery Portal link in one place. Every artifact lands in the Document Hub with a sequential version label (V01, V02, V03 …).
  5. Hand off to the field. Send the route to a RoadScope Navigator crew with NAV Live Dispatch, or share the Client Delivery Portal link with the client.

15.2 Field Capture

Capture clearance measurements, photos, and 360° imagery in the field — synchronised to the office in real time.

  1. MeasurePRO Pairing. In a project, open the Collaborative Survey panel and click Pair MeasurePRO. RoadScope generates a 7-day RS-XXXXXX pairing code. Enter that code on the MeasurePRO device to stream measurements straight into the project.
  2. Insta360 Field Capture Guide. The Survey Import modal includes a built-in camera-setup walkthrough and a field workflow checklist for 360° captures.
  3. Import 360° video with nothing to install. Open the recording in Insta360 Studio (the free app that comes with the camera), click Export → 360 video with the default settings, then drag the exported .mp4 into Import 360° survey together with the camera's original _00_.insv file — RoadScope reads the GPS track from it (a .gpx track from another device works too). Each video can be up to 16 GB; for longer drives split the recording into clips in Insta360 Studio.
  4. GPS-tagged photo documentation. Photos uploaded to a POI keep their EXIF GPS coordinates and timestamps and become attached evidence on the POI record.
  5. Mobile field app. Use the field app for live GPS elevation profiling, offline POI capture, and photo evidence on any phone.

15.3 Route Intelligence & Planning

OS/OW-specific analysis that turns a corridor into a defensible operational plan.

  1. Map providers & basemaps. Switch between Google Maps road, satellite, hybrid, and terrain basemaps — plus regional data layers — without losing your data. Set your preferred default in Settings. Layer visibility (basemap, overlays, imported layers) is remembered per map in the Layers panel.
  2. Elevation & grade analysis. GPS-based elevation profiles with colour-coded grade severity. Spot steep grades, sustained climbs, and traction-risk segments at a glance.
  3. External Route Intelligence sources. Bridge inventories, structures, and roadworks for North America and Europe overlay automatically based on route geography. Data for all 27 EU member states from external Route Intelligence sources is now included on a weekly refresh cycle.
  4. Weather-on-the-Way. Per-segment weather risk reports time-aligned to the projected time of arrival. Read the top-line risk banner: Good to Travel, Use Caution, High Weather Risk, or Do Not Dispatch.
  5. Route Comparison. Compare two surveyed routes side-by-side across distance, clearance constraints, grade profile, POI counts, and permit complexity. Export the comparison as a PDF for permit packages.
  6. Rail Miller Module. Open the Rail panel (Products → Rail in MapPro, or /rail-miller). Document rail crossings, search community rail constraint records, and consult the jurisdiction-specific OS/OW Rail Rules Reference Library.

15.4 Clearance Safety & Turn Directions

Verify your load envelope against every documented constraint and capture verified turn directions in the field.

  1. Overhead Clearance Cross-Check. Enter your load height, width, and safety margin in the Clearance tab. RoadScope compares your envelope against every POI clearance on the route and flags Conflicts (clearance insufficient) and Cautions (within safety margin) with colour-coded badges.
  2. Danger & Special Maneuver badges. Conflict POIs show a red Danger badge on the map, in the POI list, and in reports. Where a special maneuver is required — wide swing, split escort, pilot car stop — a Special Maneuver badge shows the maneuver outline on the map.
  3. Per-POI-type envelope breakdown. The Cross-Check panel shows the tightest clearance across all Bridges, Utilities, and other types at a glance — without scanning the full POI list.
  4. Turn direction capture (field app). At intersection POIs in the Field App, tap L / R / Straight / U-Turn to record the verified direction. Colour-coded chips appear on POI rows and popups in the office, and geometry-derived directions fill in automatically when no field value has been recorded.
  5. Turn directions in exports & reports. All CSV/Excel exports include a Turn Direction column. The Turn-by-Turn report includes turn-direction chips alongside each intersection entry.

15.5 Route Watch

Continuously scan a saved route’s corridor for new, changed, and lifted road events — scored against your convoy envelope.

  1. Start a watch. In the Routes tab, click the bell on a route card or open the Route Watch drawer from the Tools menu and click Start a watch. If the survey has no convoy data, the Declare convoy envelope dialog asks for Height, Width, optional Length, and Gross weight before continuing.
  2. Configure the watch. Set the Start and End dates (defaults to 30 days, maximum 180), adjust the Corridor buffer slider (25–500 m, default 75 m), and choose notifications — in-app alerts are always on, with an optional Email digest when events are detected. Click Activate watch to run the baseline scan immediately.
  3. Read the alerts. Watched routes show blocking (red), verify (yellow), and info (green) event counts. Each event carries a severity chip and a state — New, Updated, Lifted, or Active — with the road, reason, and distance along the route. Acknowledge events with the eye control; unacknowledged alerts ring the route’s bell with a numeric badge.
  4. Manage watches. From a watch’s detail view use Scan now, Pause/Resume, or End watch. The header shows a Watch active radar badge whenever watches exist, and the drawer shows the next automatic scan time. A scan that could not fully evaluate the corridor is reported as incomplete — never as clear.
  5. Coverage. Route Watch currently monitors the Québec road-event network. The corridor is the route line plus your configured buffer, so events on adjacent ramps and crossings are caught too.

15.6 Corridor Intelligence Decisions

Review scan coverage, findings, monitoring alerts, verification evidence, and decision history without turning uncertainty into a false clear.

  1. Review the scan before the findings. Confirm the route and version, convoy envelope, scan time, corridor buffer, jurisdictions, and selected sources. Then inspect every source status and the geographic and time coverage. A result only speaks for the sources, area, and time actually evaluated.
  2. Interpret coverage states conservatively. Missing means required evidence was not supplied. Failed means the source or check did not complete. Stale means the evidence may no longer represent current conditions. Partial means only part of the requested corridor, time range, or source set was evaluated. Out-of-coverage means the source does not support that place or condition. None of these states means clear, pass, or safe.
  3. Review and monitor alerts. Triage blocking, verify, and informational findings, including New, Updated, Active, and Lifted events. Configure Route Watch through the planned move date and assign someone to review notifications. An incomplete scan remains incomplete even when no blocking event was returned.
  4. Verify critical evidence. Open the source and evidence history. Check authority, observation time, confidence, location, units, and whether the evidence applies to the declared convoy. Resolve contradictions and confirm critical constraints with suitable current evidence such as field measurement, engineering review, or the responsible owner, utility, or authority.
  5. Preserve the decision trail. Record the decision, rationale, assumptions, exceptions, reviewer, and follow-up actions. Evidence history preserves observations and supersession. A decision dossier packages evidence and reasoning for audit; it is not professional approval, engineering certification, a permit, or a declaration that a route is safe.
  6. Use the printable review. Print or save the Corridor Intelligence Decision Checklist with the project record. Stop or escalate when a critical source is missing, failed, stale, partial, contradictory, or out-of-coverage.

15.7 Scenarios (Transport Studies)

Named study views that scope which POIs, routes, and files are displayed — without duplicating or moving any data.

  1. Create a scenario. Click the scenario dropdown above the map (it shows the active scenario name or Main study) and choose New scenario, or use Create Scenario from the survey rail. The new scenario activates automatically.
  2. Main study is the default. With no scenario active you are in Main study — all routes, files, and POIs are visible with no filtering, exactly like the pre-scenario behaviour.
  3. Corridor matching. An active scenario automatically shows POIs that fall inside the corridors of its routes. Matching recomputes when you activate the scenario or change routes and POIs.
  4. Pin and hide POIs. With a POI selected while a scenario is active, use Pin to scenario to include it even outside the corridor match, or Hide from scenario to exclude it. Pins are scenario-specific and reversible (Pinned — remove pin).
  5. Rename, duplicate, delete. Each scenario offers Rename, Duplicate, and Delete. Deleting a scenario keeps all routes and files — they simply return to Main study. Shared maps can be scoped to a scenario so recipients see only that study.

15.8 Swept-Path & Vertical Analysis (SweptPRO)

Simulate the vehicle combination through an intersection and screen the route profile for grounding risk.

  1. Run an intersection analysis. Select a Turn POI and choose Analyze intersection swept path. Define the boundary — Auto-suggest from road data or Draw boundary manually — then Accept boundary, pick the equipment combination from your Equipment Library, and simulate.
  2. Refine the path. After simulation, drag the handles to adjust the path, double-click the line to add a point, or right-click / long-press a handle to delete it. The simulation re-runs automatically as you edit.
  3. Read the verdict. Verdicts are PASS, CONDITIONAL PASS (passes only if flagged removable obstacles are removed), or FAIL, with maximum clearing length/width, minimum edge clearance, and any collisions. A Simulation error means the setup needs fixing — it is not a physical FAIL.
  4. Vertical (grounding) profile. Open the collapsible Vertical profile panel under the map. Sample elevation along the guideline via the API (approximate, ±1–2 m, screening only) or Import CSV profile with s,z columns in metres. Results show PASS, FAIL – Grounding, or ERROR, with minimum clearance location and approach/departure/breakover angles.
  5. Save & report. Save the analysis with a name and report profile — or Save as new version while editing. Saved results attach to the Turn POI and flow into the Turn-by-Turn report, with a combined PASS (H+V) / FAIL (H+V) verdict when both analyses exist. The Project Report consolidates verdicts across every analyzed intersection.

15.9 AI Report Studio & Max Load Agent

AI that drafts narrative reports and drives the app for you — always with human confirmation on anything it writes.

  1. Start an AI Report Studio draft. In the Reports Hub, choose AI Report Studio and click Start AI Analysis. The AI analyzes POIs, clearances, bridges, grades, and rail data, then drafts an editable Executive Summary (Headline, Overview, Top Risks) and per-section Justification, Key Findings, and Recommendations.
  2. Revise conversationally. Use Revise the report to request narrative changes. You get before/after diffs and choose Apply edits or Discard. Engine-derived numbers, verdicts, and risk levels are never rewritten by the AI — changing those requires an explicit override.
  3. Custom templates. Upload your own report template (.pdf, .docx, or .html). Extracted sections are mapped to the POI taxonomy; ambiguous sections must be confirmed, manually defined, or excluded before the template can be activated.
  4. Pre-publish checklist & quota. A Pre-publish checklist gates Generate Final Report; a failed check can only be bypassed via Override with justification, which is permanently logged. Each analysis consumes one draft from your plan’s monthly AI report draft allowance.
  5. Max Load Agent. Open Max Load from the map tool palette (or the floating Max Load button) for a chat agent that can list maps and routes, search POIs and POI Discovery, and run Route Intelligence scans. Every write is a proposal: review the Before/After card and click Apply or Skip — nothing is changed without your confirmation, and applied actions are logged.

15.10 POI Discovery & Road Events

Pull relevant constraint POIs from community and external data onto your route, and see live road events on generated routes.

  1. Open POI Discovery. From Tools, open POI Discovery on the active map. Choose a search scope: Route corridor (with a buffer in metres), Map area (the currently visible view), Radius (km around a centre point), or Region (province / state).
  2. Filter by dimensions. Restrict results by Height, Width, or Both with numeric thresholds so only constraints relevant to your load appear.
  3. Add results to the route. Results are grouped by type with counts and distances. Tick the POIs you want and click Add to route; POIs owned by other organizations can be requested with an optional Message to the owner.
  4. Road events in Route Generator. In the Route Generator, click the orange Events button to overlay current closures (red), construction (orange), incidents (yellow), and restrictions (purple) on the candidate route. Click a marker for details, or use the Road Events panel to pan to each event. A warning appears if the event data is stale.

15.11 Multi-Phase Workflow

Keep planning data, field-verified data, and client-ready data separated — without duplicating projects.

  1. Phase tag every POI and route. Each POI and route carries one or more phases: Preplan, Road Survey, SharedMap.
  2. Switch the visible phase. Use the phase filter pills (All / Preplan / Road Survey / SharedMap) in the POIs tab filter panel to control the list and the map at once — markers and routes narrow to the selected phase, and an active filter chip stays visible until cleared.
  3. Bulk Phase Switch per POI type. Move every visible POI of a given type — every bridge, every utility — between Preplan and Road Survey in a single action. POIs in hidden regions or excluded by other filters are not affected.
  4. Phase-scoped reports. Reports can be scoped to a specific phase to produce phase-targeted deliverables (e.g., a SharedMap-only client package).

15.12 Deliverables, Reports & Document Hub

Every output the office, regulators, and the cab need — versioned, audit-ready, and client-shareable.

  1. Reports Hub. A single panel for every interactive HTML report: Route Survey Report (master), POI Report, Work Required, Survey Plan + Weather, Rail Information, Clearance Profile, Province/State POI Report, Width Report, Envelope Report, Maximum Envelope Report (Interactive), and the AI Report Studio. Each report generates a self-contained interactive HTML deliverable with a public share link and auto-saves to the Files tab.
  2. Envelope & Maximum Envelope reports. The Envelope Report compares your load envelope against every route constraint — clearance (height), corridor width, and an overall pass/fail. The Maximum Envelope Report (Interactive) adds live height/width sliders, clearance profiles, an obstacle register, field photos, and a simulator. Add multiple loads with "+ Add load"; the governing envelope takes the maximum dimension across loads. A creator edit link lets you correct the delivered page after generation.
  3. AI Report Studio. From the Reports Hub, choose AI Report Studio and click Start AI Analysis. The AI analyzes POIs, clearances, bridges, grades, and rail data, then drafts an editable Executive Summary and per-section narratives. A Pre-publish checklist gates Generate Final Report; failed checks can only be bypassed with a logged, justified override.
  4. Constraint verdicts & governing constraints. Reports grade every evaluated constraint against your declared load with a shared verdict engine: PASS, MARGINAL (inside the safety band), FAIL, or NOT EVALUATED (missing data — never a silent pass). High-voltage lines automatically subtract the jurisdiction’s required minimum air draft before grading. A governing-constraints table shows the single worst constraint per route and dimension with its position and margin.
  5. Pre-report data-gaps check. Clicking Generate Report first audits the survey for missing measurements, unclassified types, missing route associations, and free-text-only curfews. Fix the gaps or Proceed Anyway — proceeding embeds a "Data Gaps — Field Data Completeness" disclosure section in the deliverable.
  6. Permits AI Scanner & Permits Summary. Upload any permit PDF and RoadScope extracts jurisdiction, load envelope, conditions, and expiry into a structured record. All active permits appear in the Permits Summary section of every Full Report.
  7. OS/OW Document Center. Project-level workspace for permits, regulations, route documentation, engineering letters, insurance certificates, and field photos. Documents can be linked to specific POIs or to the route as a whole.
  8. Document Hub V01 / V02 / V03 versioning. Every artifact lands in the Document Hub with a sequential version label. Older versions are preserved, never overwritten. Mark as Official to flag the authoritative copy. Compare any two versions.
  9. Permit Auto-Fill. Permit application templates are pre-populated from your route data — jurisdiction, dimensions, equipment, and constraint summaries — saving long manual data entry.

15.13 OS/OW Project Management

Timelines, milestones, and deliverable tracking for complex multi-phase operations.

  1. Create an OS/OW project. From the dashboard, click New OS/OW Project and enter the project name, client, expected move date, and jurisdiction list.
  2. Project timeline & milestones. The timeline view shows each phase — Pre-Survey, Field Survey, Report Preparation, Permit Submission, Move Execution — as a horizontal bar. Milestones pin to the timeline at critical dates: permit application deadlines, engineering letter due dates, scheduled move dates.
  3. Deliverable tracker. Every required output is listed with an owner, due date, status (Pending → In Review → Complete → Blocked), and a direct link to the generated artifact in the Document Hub.
  4. Milestone notifications. RoadScope sends email reminders at 7 days and 1 day before each milestone. Overdue milestones surface as red indicators on the timeline.

15.14 3D Digital Twin

Overlay photorealistic 3D models on the terrain for site visualization, staging review, and client presentation.

  1. Open the 3D view. Click the 3D tab from any project map. RoadScope switches to the 3D terrain view with your route, POIs, and any placed models overlaid on the terrain.
  2. Import and place a 3D model. Open the 3D view, then use 3D Models → Import. GLB is the preferred direct format. A georeferenced GLB auto-places; other files start at the current map view so you can position them and adjust units, orientation, scale, and height offset in Properties.
  3. CAD-to-GLB conversion. RoadScope converts STEP/STP, IGES/IGS, STL, and OBJ files to GLB after you review the preflight notice. CAD and mesh sources are limited to 50 MB and conversion carries geometry only; use a direct GLB when embedded JPEG/PNG textures are required.
  4. Global 3D Model Library. Browse community-contributed OS/OW structures (portal frames, bridge clearance rigs, staging fixtures) and place them with a live preview before committing.
  5. Two-point measurement. Click Measure on any model card and click two points to get the straight-line distance between them, displayed in your workspace unit.

15.15 Live Operations & Client Delivery

Bridge the planning office, the cab, and the client with live, real-time tools.

  1. NAV Live Dispatch. See active RoadScope Navigator surveyors live on the office map with current GPS, speed, and last-update time. Push a revised route (with selected POIs and a message) to a specific surveyor — they Load Route to switch instantly or Save for Later to keep it offline on the device. The dispatch panel tracks each send: Delivered to Device, Route Accepted by Surveyor, or Saved for Later.
  2. Client Delivery Portal. Hand the client a live, branded interactive Shared Map of the survey via a single link. No login or software install on the client side. Updates you make in RoadScope are reflected automatically.
  3. Shared Map Advanced POI Filter. Recipients on the shared map can filter POIs by type and dimension ranges, use the header height-clearance banner to highlight conflicts for their specific load, and view photo thumbnails directly in POI popups.
  4. Shared Map comments. Clients and stakeholders can leave General, Question, Approval Request, Needs Correction, or Missing Information comments. The map owner is notified by email.
  5. Connect a survey to an AI assistant. Every generated report ends with an "Ask this survey with your AI" block — a QR code and short link recipients open to connect the survey to Claude, ChatGPT, Gemini, or Copilot with a read-only, single-survey token (90-day validity, revocable). Survey export ZIPs include the same access files, and full-survey shared maps show a connect panel once a report or export has opened the door.

15.16 Workspace, Units & Preferences

Personalise the platform once — every screen and report follows.

  1. Miles / Kilometres / Feet & Inches selector. Set your preferred unit mode in Settings → Workspace Preferences → Units: Metric (metres, km), Imperial (decimal feet, miles), or Feet & Inches (ft′ in″). The change applies across the platform: route distances, clearance fields, exports, permit auto-fill, and Street View ruler labels.
  2. Short-distance auto-units. Short measurements display in metres or feet — with auto-promotion to km / miles for longer measurements — instead of awkward 0.03 km readouts.
  3. Time tracker. Log hours per day and map from User menu → Timesheet (/timesheet), then submit the week for approval by a company admin. Approved timesheets are visible in Company Admin.
  4. Onboarding tour & in-app changelog. Use Restart Tour from the Settings tab, or the What's New modal, to revisit the in-app walkthrough and review the latest releases.

15.17 Team Collaboration

OS/OW projects are multi-stakeholder by design.

  1. Team Dashboard (Team Hub). Workspace → Team Dashboard (/company/team) is the company home: members and roles, active maps, open tasks, verification requests and recent activity. Team Tasks (/company/tasks) lists every project task across the company.
  2. Company Admin. Workspace → Company Admin (/company) is where owners and admins manage employees and roles (owner, admin, surveyor, viewer), the per-map access matrix, invitations, the audit log, MeasurePRO pairing, report branding and the company Route Watch policy.
  3. Company-wide views. All Maps, All Routes and All POIs (Workspace menu) list every record in the company with owner and last update; the POI Library holds curated reusable POIs and POI Use Requests tracks other companies asking to reuse one of yours.
  4. Per-map collaborators. Invite collaborators from the Share panel as viewer, editor or manager. Collaborators see the map under My Maps; per-map collaborator seats follow your plan. My Profile → Collaborations lists maps shared with you.
  5. Survey scheduling & assignment. Schedule field surveys, assign them to team members, set due dates, and track progress from the Project Dashboard and Team Tasks.
  6. Timesheet. Surveyors log hours per day and map from User menu → Timesheet and submit the week for approval; approved timesheets are visible in Company Admin.
  7. Version control & audit trail. Every change is logged and every issued version preserved. Sign-offs are recorded in the Decisions panel with the technical right and data version they applied to.

15.18 Mobile, NAV & PWA

RoadScope works in the cab and in the field, online or offline.

  1. RoadScope Navigator (turn-by-turn convoy). Export routes to mobile for real-time turn-by-turn navigation, hazard alerts, and convoy coordination. Included in Operator and Enterprise plans.
  2. Field app PWA. The /fieldapp surface installs as a Progressive Web App with cache-first behaviour for the shell. POI capture, photos, and live elevation work offline; data syncs when connectivity returns.
  3. Live GPS presence. When a NAV crew is signed in, their live position appears on the office map for dispatch.

15.19 MapPro Panels, Map Tabs & MapLite

How the Map workspace is organised, how to work on several maps at once, and when to use the lightweight MapLite.

  1. Rail and panels. The left rail groups panels by pillar: Map (Overview, Maps, POIs, Routes, Corridors, Transport, Decisions, Movements, Route history, Scenarios, Road Profiles, Analytics, Layers, Files), Route Intelligence, Analysis, Products (SweptPRO, LoadPRO, ProfilingPRO, Rail), Work, Permits, Reports & Delivery, AI, Help, User and Settings. Import / Export opens as a hub modal from the rail.
  2. Map tabs. Open a second map from the Maps panel (or right-click a tab → New tab) and it appears as a tab above the map. Each tab keeps its own active panel, zoom and layer state; Route Intelligence scans stay parked with the map that started them. Closing a tab never deletes data.
  3. Workspace restore. When you return to a map, MapPro restores your last panel, zoom, active layers and collapsed groups for that map and user.
  4. Data continuity panel. Map → Data continuity shows weekly backups, retention, restore drills and the integrity badge of every file and share of the map — proof that a deliverable is still the version you issued.
  5. MapLite. MapLite (/map) is the lightweight map for quick lookups and light POI edits on a phone or from a shared link. It shows Route Intelligence teasers and a one-click jump into MapPro for the full workspace; export menus and the area inspector are available without the full rail.

15.20 Transport Configurations, Decisions, Movements & Route History

Turn each passage into route memory: a confirmed configuration, a logged decision, a declared movement and a history future studies can rely on.

  1. Transport panel. Record the loaded-combination dimensions and weight in Map → Transport — the single source of truth every verdict, badge and report reads. Confirming a configuration locks it as the reference for a movement; weight left at 0 is treated as "not declared", never as zero.
  2. Decisions panel. Map → Decisions is the validation log: who approved which configuration, report or corrective measure, on which data version and with which technical right (and any competence role held, recorded for provenance — roles never block a sign-off). Entries are written by the server when a sign-off happens and are never editable.
  3. Movements panel. Map → Movements lists studied, declared and documented passages on the corridor. After the transport, use Declare passage (or the guided Transport closure wizard) to attach closure evidence — driven kilometres, incidents, photos — and promote the movement to route memory.
  4. Route history panel. Map → Route history shows past movements, road profiles and studies recorded on the same corridor across your company, so a new load is compared against what already travelled there. Max can answer questions from this memory.

15.21 Report Builder

Design custom deliverables page by page, bound to live map data, and publish frozen PDF snapshots.

  1. Open the builder. Reports & Delivery → Report Builder (/roadscope/reportbuilder) opens the page-layout editor for the active map. Start from a template or a blank A4 / Letter document.
  2. Place blocks. Drag data blocks (POI tables, route maps, photos, measures, corrective measures), free-frame text boxes and your logo onto the page grid. Pinned blocks repeat on every output page — use them for headers and footers.
  3. Bind to data. Every data block binds to a catalogue field of the map (POIs, routes, vehicles & loads, measures). Bindings show an explicit state — bound, empty or missing — so nothing renders silently from stale data.
  4. Publish. Publish creates a frozen snapshot rendered to PDF; the PDF is byte-stable on reprint and lands in the Files panel and Interactive Reports with a version label. Edits after publishing create a new revision.
  5. Ask Max. Max can add, move or fill Report Builder blocks on request ("add a photo grid of the bridge POIs on page 2") and merges its edits with yours live.

15.22 Action Requests, Corrective Measures & Utility Checks

Ask a utility, road authority or contractor to act on a constraint, track their answer, and close the loop with evidence.

  1. Document the corrective measure. From a POI (or a multi-selection) choose Corrective measure: pick the measure from the catalogue, the responsible party and the status (proposed, requested, confirmed, done). One measure can cover several POIs and appears in the Work Required section of the Route Survey Report.
  2. Find the owner. Run the utility route check (Permits → Public Utilities Registry, or from the Routes panel) to see which power, telecom and rail owners the route crosses, with contacts and approach-distance rules.
  3. Send an action request. Create an action request from the measure or from Workspace → Action Dashboard (/actions): recipients, deadline, the items to confirm and the evidence you attach. Recipients get a secure portal link and answer without an account.
  4. Track reminders and answers. The Action Dashboard shows every open request, the reminders sent (they continue automatically until the request is answered or closed), the recipient responses and attached evidence.
  5. Close with verification. A request closes only after an internal verification of the recipient answer; the closure is recorded as a decision and the corrective measure status updates accordingly.

15.23 Permits, Documents & Jurisdiction Rules

Manage permit applications, supporting documents and the jurisdiction rules that drive clearance verdicts.

  1. Permit Manager. Permits → Permit Manager (and the Permits panel in MapPro) tracks applications per jurisdiction for a movement: required documents, submitted values, reviewer divergences and expiry. Only confirmed values are used — unknown is never treated as zero.
  2. AI permit scanner & auto-fill. Upload a permit PDF and the scanner extracts the key fields for review; auto-fill pre-populates applications from route, load and equipment data in your unit preference.
  3. Permit Documents & References. Tools → Permit Documents & References (/document-center) is the OS/OW Document Center: permits, regulations, jurisdiction packs and supporting documents per project, with visibility rules for shared maps.
  4. Public Utilities Registry. Permits → Public Utilities Registry (/utility-registry) lists utility owners by region with contacts and approach-distance rules used by the utility route check and action requests.
  5. Jurisdiction packs. Jurisdiction packs define minimum approach distances and clearance rules per province / state. Overhead-wire and high-voltage verdicts use the pack matching the POI location; a mismatch with the map jurisdiction is flagged in the report.

15.24 Road Profiles

Survey-grade vertical road profiles for grounding and vertical-clearance checks.

  1. Import. Map → Road Profiles imports ProfilingPRO packages, NMEA journals, GPX and CSV traces. Profiles longer than a few thousand points are stored in cloud storage and streamed on demand; every export carries its datum.
  2. Edit and compare. Edits (trim, smooth, merge, gap handling) create new derived profiles by replaying operations — the source profile is never modified. Compare two profiles side by side and link a profile to a route for grade review.
  3. Vertical analysis. Run the vertical engine against a trailer configuration to find grounding points (a ridge between supports) and vertical clearance losses; results feed the Road Profile Report and SweptPRO vertical analysis.

15.25 Import & Export

Bring field data in from any source and hand it back out in the formats permits and clients expect.

  1. Import hub. Import / Export → Import accepts CSV (including RSA laser CSV), Excel, GPX, KML/KMZ, GeoJSON/JSON, Shapefile, GeoTIFF, DXF, LandXML, AutoTURN vehicles, PDF, geotagged images, ZIP packages, MeasurePRO, ProfilingPRO and SweptPRO packages and RoadScope / MapHub archives. Content is detected by file type; unknown spreadsheet layouts go through the AI mapping step for your review.
  2. Export hub. Import / Export → Export produces CSV, Excel, GeoJSON, GPX and KML/KMZ of POIs and routes with route sequence and chainage, photo bundles and RoadScope archives. Reports export from the Reports Hub as interactive HTML and signed PDF.
  3. Archives & backups. A RoadScope archive moves a map between accounts; weekly account backups are downloadable from My Profile → Backup.

15.26 Account, Subscription, API Keys & AI Access

Everything under the User menu.

  1. My Profile. Identity and logo, preferences (units, theme), notifications (email / SMS, Route Watch and corridor alerts), collaborations, maps, contribution quality, backups and support tickets.
  2. Subscription. /profile/subscription shows your plan (Starter, Operator, Enterprise), the 14-day trial, usage against limits (maps, POIs, storage, AI drafts), invoices and the refund guarantee.
  3. API Keys & webhooks. /profile/api-keys creates and rotates REST API keys; Settings → Webhooks fires on POI, route and report events. The API reference lives at /api.
  4. Connect your own AI. My Profile → AI access issues a scoped, expiring read-only token for a map that you paste into Claude, ChatGPT, Gemini or Copilot following the on-screen instructions.
  5. Interactive Reports. /profile/reports lists every report you issued across maps with version, integrity badge and viewer link.

Appendix A

Troubleshooting

A.1 The app shows a blank white screen

Cause: The browser is blocking JavaScript, or the Vite build cache is stale.

  • Hard-refresh the page: Ctrl + Shift + R (Windows) or Cmd + Shift + R (Mac)
  • Clear your browser cache: Settings → Privacy → Clear Browsing Data
  • Try a different browser (Chrome is recommended)
  • Disable browser extensions temporarily (ad blockers can interfere)

A.2 GPS location is not working

  • Check that your browser has permission to access your location: browser address bar → 🔒 icon → Location → Allow
  • On mobile, ensure Location Services is enabled in your device settings
  • Move to an outdoor location with a clear view of the sky
  • Wait 30–60 seconds for GPS to acquire a satellite lock
  • If using a laptop indoors, GPS accuracy will be low — this is expected

A.3 Map tiles are not loading (grey boxes)

  • Check your internet connection
  • The Google Maps API key may have exceeded its daily quota — contact support if this persists
  • Try switching to a different map type (Road → Satellite or vice versa)
  • Clear browser cache and reload

A.4 A POI will not save

  • Check that both Name and POI Type are filled in (both are required)
  • Check your internet connection — POIs save to Firebase in real time
  • Try refreshing the page — RoadScope uses IndexedDB to cache unsaved changes and will attempt to re-sync on reload
  • If the error persists, take a screenshot and submit a support ticket with your Map ID

A.5 Import failed / no POIs imported

  • Verify the file format is supported (see Section 6.1)
  • For CSV imports, ensure the file has latitude and longitude columns (or use the Field Mapper to identify your coordinate columns)
  • For ZIP imports from MeasurePRO, verify the ZIP contains a valid survey.json or data.json file
  • Check the import report for specific error messages — it lists exactly which rows failed and why

A.6 PDF report takes too long to generate / times out

  • Reports with more than 200 photos can take 2–3 minutes to generate — this is normal
  • Try reducing the photo quality setting in the export options (set to Medium instead of High)
  • Remove unnecessary appendices to reduce page count
  • If the error persists after 5 minutes, contact support with your Map ID

A.7 Shared map link shows "Not Found"

  • Verify the link is correct (no extra spaces or characters)
  • Check that the Public Link toggle is still enabled in the map's Share settings
  • The map owner may have deleted or archived the map

A.8 RoadScope Navigator (NAV app) is not receiving the route

  • Ensure both devices are connected to the internet when scanning the QR code
  • The QR code expires after 30 minutes — generate a fresh one if needed
  • Check that the driver's phone camera app has permission to scan QR codes
  • Try entering the route code manually (tap "Enter Code" in the NAV app)

A.9 Voice notes are not recording

  • Check that the browser has microphone permission: browser address bar → 🔒 → Microphone → Allow
  • On mobile: check device Settings → Privacy → Microphone → Allow for your browser
  • Firefox does not support the Web Audio Recording API — use Chrome

A.10 Access expiry banner is showing but account should still be active

  • Log out and log back in to refresh your account data
  • Contact support at support@soltec.ca with your account email and access confirmation order number

Out-of-coverageA source does not support the relevant geography, time, asset, or condition. No safety conclusion can be drawn from that source.
PartialOnly part of the requested route, time range, or source set was evaluated. Unchecked portions remain unknown.
StaleEvidence is older than the applicable freshness expectation and may no longer describe current conditions. Re-verify before reliance.
BadgeA color-coded visual indicator on a POI marker that shows the severity of the measurement relative to the vehicle's dimensions (Danger, Work Required, Important, Clear).
ClearanceThe vertical distance between the bottom of an overhead obstacle (bridge, wire, sign) and the top of the load being transported. A positive clearance means the load can pass; negative means it cannot.
ConvoyThe complete group of vehicles in a heavy haul move: the prime mover, one or more dollies, front and rear escort vehicles, and any police escort.
EPSGEuropean Petroleum Survey Group — the organization that maintains a database of coordinate reference systems. Used to specify a CRS in GIS exports (e.g., EPSG:4326 = WGS84 lat/lon).
FirebaseGoogle's cloud database and authentication platform used by RoadScope to store all survey data, user profiles, and real-time collaboration state.
GeoPDFA PDF file with embedded geographic coordinates, enabling GIS applications (like Avenza Maps) to display the user's GPS position on the map in real time.
GeoJSONA standard text-based format for encoding geographic data structures using JSON. Used for interchange between GIS systems.
GPS TrackThe sequence of GPS coordinates recorded as a surveyor drives the route. Displayed as a colored line on the map.
